A reference cap is most useful when the development team knows what it represents. You might like its crown shape but want a different fabric, closure and logo. Without those distinctions, a physical sample can be interpreted as an instruction to reproduce details you never intended to keep.
Use the headwear sourcing enquiry checklist to describe the project. Then attach a reference review sheet that separates retained features, requested changes and details still requiring investigation. Keep the physical sample identifiable while those decisions develop.
Give each reference a purpose and identity
Label or otherwise identify the cap and the views used in the discussion. Record its observed condition and any relevant size or closure setting. Explain whether it is a shape, fit, material, decoration or packing reference.
If several references contribute to one design, name the feature supplied by each. For example, reference A might show the desired profile while reference B supplies the rear-closure direction. Ask the supplier to review how those choices work together in one proposed construction.
Mark what stays and what changes
Work through the front, sides, rear, visor and interior. Write a specific instruction beside each relevant feature. “Keep the shape” becomes clearer when the accepted front profile and side depth are shown in matching views.
Keep an unknown component marked as unknown. A photograph or worn cap may not establish fabric composition, support material or the original finishing sequence. Ask for the supplier’s identifiable proposal rather than assigning a material by appearance alone.
Separate appearance from measurement
Use the cap-fit brief to agree measuring points and wearer coverage where fit is part of the reference. Record actual dimensions and units through the agreed method. A remembered size label does not replace that review.
For colour, retain an agreed physical reference in suitable condition. Pantone’s explanation of physical colour samples is useful background. A faded cap and a screen image should have their role and limits explained when setting a new shade direction.

Review the new sample against the sheet
Compare the developed cap with the retained-feature list and requested changes. Keep the accepted new sample distinct from the original inspiration reference. Any agreed difference should be recorded so it does not become an accidental revision later.
