Bulk Promotional Cap Orders: Quantities, Lots and Destination Packs

A bulk cap order is more useful as a quantity matrix than as one headline total. Show how many of each complete variant go to each destination and delivery lot. That makes it possible to check artwork, packing and receiving records against the same numbers.

For the related construction decisions, see the custom trucker hat guide. The plan below addresses the campaign or corporate buying task.

Separate forecasts from released quantities

List the construction, colourway, artwork version, labels and packing for each complete item. Give it one reference used across the order. Keep estimates and possible later releases outside the confirmed purchase quantity.

For example, two cities may need the same base cap with different rear wording. Separate those variants before assigning the city totals. Agree how proposed quantity changes, shortfalls or excess pieces will be handled rather than assuming a standard allowance.

Split the order into identifiable delivery lots

Name each lot and its required receiving location. Reconcile the item quantities in every lot with the overall released order. If a lot is partial, show what remains to be supplied and who approves the revised allocation.

Keep the receiving date distinct from the planned factory handover and transport milestones. A split shipment can involve different packing and documentation needs. Check those details before presenting one broad delivery statement as coverage for every destination.

Match the carton record to the actual item

GS1’s explanation of trade-item identification describes trade-item identification. Use any required assigned product identifiers alongside the buyer’s released item data; do not substitute an invented barcode number for an internal reference.

The carton and packing records should distinguish similar-looking variants. Include the relevant item, quantity, lot and destination information agreed for the order. Verify that the summed pack quantities match the released allocation before dispatch.

Reconcile changes and receipts

Use the campaign allocation review to check stock movement after receipt. Record actual quantities received, issued, held or awaiting correction under the same item references.

If a destination or artwork version changes, update the affected order, lot and packing records together. Keep the previous allocation available for comparison. The order is easier to close when differences are explained by item, rather than hidden in a revised grand total.
