One campaign can involve a main logo, sponsor marks, staff wording and a dated edition. A promotional cap artwork matrix shows which combination belongs on each cap. It prevents a folder of correct logos from becoming an unclear production instruction.
For the related construction decisions, see the snapback cap buying guide. The plan below addresses the campaign or corporate buying task.

Give every complete artwork combination a reference
List the base cap, colourway and artwork version together. Add each position, finished dimensions and orientation. Keep the front mark, side sponsor and rear wording in separate fields so an approval cannot accidentally omit one location.
For example, a visitor cap with a front mark and a staff cap with that mark plus rear text are two complete combinations. Name them clearly even when the base cap is shared. Connect each combination with its order quantity and packing group.
Choose a route for each mark on its actual surface
The custom logo design brief introduces the decoration choices. In the campaign matrix, state the proposed method for each location and identify any detail that needs a production adaptation.
Review small sponsor lettering, gradients and narrow spaces at actual size. Keep the authorised source artwork separate from a simplified decoration version. A visual mock-up is useful for arranging the marks, while the sample resolves the chosen cap and process.
Keep the brand hierarchy and colours visible
Ask the brand owner which mark leads and how secondary marks should relate to it. Record permitted variations rather than enlarging every logo to fill the available space. Check the front and side views while the cap is worn.
Pantone’s guidance on physical colour references supports reviewing colour on physical references. Keep accepted fabric, thread, patch or print examples with the relevant cap combination. Name any accepted interpretation where different surfaces cannot be judged as one identical effect.
| Decision | Record to keep |
|---|---|
| Combination | Cap, colourway and named artwork version |
| Position | Location, orientation and finished dimensions |
| Method | Decoration route and authorised adaptation |
| Approval | Physical reference, revision and decision owner |
| Allocation | Correct quantity and packing group per version |
Release the artwork matrix with the quantity file
Record the accepted revision and approver for each complete combination. Remove uncertainty about which working file has been replaced, while retaining a revision history. Check that the released pack list uses the same references as the artwork matrix.
If the event adds a sponsor or changes a date, follow the late-change review for the affected items. Reconcile the new wording and quantities before giving the revised files to production or packing.
