The date printed on an event poster is not a complete delivery instruction. Caps may need to arrive at an advance warehouse, a fulfilment point or a venue during specific receiving hours. Build the plan from that confirmed handover requirement, then work back through the decisions and operations.
For the related construction decisions, see the custom trucker hat guide. The plan below addresses the campaign or corporate buying task.

Confirm the receiving requirement first
Freeman’s exhibitor guide explains that advance-warehouse receiving and direct-to-show delivery follow different windows. Obtain the current event instructions and identify the allowed dates, address, named recipient and required labels.
Check whether the stock must be sorted or repacked after receipt. A warehouse arrival and a ready-to-distribute venue pack are different milestones. Record who takes responsibility at each handover and what evidence confirms that it happened.
Put buyer decisions into the schedule
List the decisions needed for cap construction, fit, colours, artwork, labels and packing. Assign an approver to each open point. Agree the sample purpose and feedback process so an unresolved design detail does not disappear behind a production date.
Keep proposed dates distinct from confirmed commitments. Ask the responsible parties to validate the time needed for the actual work and transport route. Avoid treating a generic lead-time claim as a schedule for a particular event order.
Connect production and transport milestones
The booth stock plan separates staff stock from public giveaways. Carry that allocation into the production and packing record, especially when some groups must be ready earlier.
Review the proposed production release, checks, packing completion, collection and receiving milestones together. Include documentation and handling tasks relevant to the actual route. A plan with only factory completion and event opening leaves the handovers unexplained.
| Decision | Record to keep |
|---|---|
| Receiving | Confirmed window, location and recipient |
| Decisions | Open details and named approval owners |
| Operations | Validated release, checking and packing milestones |
| Transport | Collection, route and handover responsibilities |
| Change | Affected work, revised options and agreed response |
Agree how a late change is assessed
Use the production change review if artwork, quantities or the receiving point changes. Identify affected work, available options and the revised milestone implications before approving an alteration.
If the original plan is no longer feasible, obtain a clear revised proposal with its limitations. Do not quietly replace the agreed product or delivery route. Keep a final event handover list showing what was received, when and by whom.
