A booth team needs its caps before the doors open. Visitor giveaways may be handed out throughout the show. Treating both as one unlabelled order makes a simple event harder to run. Plan the wearer groups, quantities and packing around what happens at the booth.
For the related construction decisions, see the custom trucker hat guide. The plan below addresses the campaign or corporate buying task.

Separate the staff issue from the visitor stock
List booth staff, temporary helpers and any other wearers who need a cap for their role. Decide how each receives the right fit and whether a replacement allowance is needed. Keep those confirmed issues separate from the estimate for visitor handouts.
For visitor stock, name the distribution point and person responsible for releasing each day’s supply. An example is one staff pack and separate day-one and day-two giveaway packs. Use your actual staffing and distribution plan to set the numbers; booth attendance alone does not determine the order quantity.
Make the artwork useful in the booth setting
Check the front mark at actual size and while the cap is worn. Keep staff wording distinct if visitors will receive the same base colour. The promotional artwork matrix helps map each mark to its cap and position.
Review the complete sample alongside the other booth materials. Check contrast, fit, crown shape and any rear wording. A large logo in a flat drawing may look cramped on the finished crown. Record which version is for the team and which is for public distribution.
Confirm where the cartons can actually be received
Freeman’s exhibitor guide distinguishes advance-warehouse receiving windows from direct-to-venue move-in hours. Obtain the current instructions for your particular show, including the recipient, address, booth reference and allowed arrival window.
Agree the receiving route before finalising the delivery plan. Keep the venue contact and any required carton marks with the packing instructions. An event opening date is not the same as a warehouse deadline, and a courier delivery does not by itself prove that stock has reached the booth.
| Decision | Record to keep |
|---|---|
| Staff | Wearers, fit coverage and issue quantity |
| Visitors | Handout plan and release by day or session |
| Artwork | Accepted staff and giveaway versions |
| Receiving | Current event address, window and named contact |
| Handover | Pack list, reserve stock and closing count |
Hand over a pack list the team can use
Identify the staff stock, public giveaway groups and any reserve cartons clearly. Reconcile the pack list with the complete order and give the booth lead a copy before arrival. Keep the actual cap version and quantity visible on each group.
After the show, record what was issued, left over or damaged. Those counts can improve the next order without assuming every cap distributed created a sales lead. Keep any follow-up campaign measurement separate from the stock reconciliation.
