Wholesale Patch Caps: Assortment, Quote Scope and Carton Checks

A wholesale patch cap quotation is easier to compare when it describes a complete assortment. The same total quantity can hide different cap colours, patch designs, labels and packing requirements. Put those combinations into one order matrix before treating two unit prices as equivalent.

Start with the trucker cap buying guide to settle the base construction. Use this checklist to prepare the related patch decision for that cap.

Describe each sellable combination

Use one line for each style, cap colour, patch version and trim set. Add the quantity and intended sales channel. Identify whether the proposal uses an existing construction or needs further cap development, because an artwork change and a new cap specification involve different work.

Ask the supplier to identify minimums by the relevant variant and component. Keep sample charges, patch setup or tooling, labels, packaging and transport responsibilities visible. An attractive total is incomplete if an essential part of the requested product is excluded.

Keep component approval connected to the quoted product

Retain the badge reference and the accepted complete cap. The patch-to-cap production handoff checklist helps identify who releases each stage. A loose patch approval should not leave placement, inside finish or crown appearance unresolved.

When a quoted alternative changes the material, badge size, backing or attachment, show it as an alternative with its own sample status. This prevents a cost comparison from quietly becoming a different product comparison.

Prepare product data before carton packing

Use the buyer’s released product codes and identifiers consistently across the order matrix, labels and receiving records. GS1’s GTIN explanation explains the role of a GTIN in identifying trade items. Confirm the appropriate identifier with the responsible brand owner instead of improvising numbers in the factory brief.

State units per inner pack and carton, mixed or single-variant packing, carton marks and any channel allocation. Check that the receiver can distinguish similar combinations without opening every cap bag. Keep the packing list aligned with the same style references.

Agree how the delivered assortment will be checked

Review quantities and variant identity alongside cap workmanship and patch appearance. Record an inspection plan appropriate to the order, the defect descriptions and who may accept a deviation. Do not treat a sampling-plan label as proof that an unspecified order has passed inspection.

For repeats, use the accepted cap, patch revision and packing specification as the starting point. Ask which inputs or commercial terms have changed. A previous order number is useful context, but it should lead to the actual reference set.
